Roofing Systems
Before you can create an Estimating Template to use to build Estimates within FCS, you must first set up your Roofing Systems. Roofing Systems organize Materials and the way components display in Estimating Templates and the actual Estimates themselves.
Create a Roofing System
1. Login to FCS, navigate to your Toolbox and click "Estimate".
2. On then the right-hand side, click "System Admin".
3. To begin creating your Roofing System, click "Create a New Roofing System".
4. Click on the "trade" for this Roofing System.
5. Click on the "type of construction" for this Roofing System.
NOTE: Click "Replace" for new construction or overlay projects.
6. Name your Roofing System to reflect the basic materials that an assembly will be built from. For example, "TPO", "EPDM" or "PBC". Or, if you intend to separate Roofing Systems by manufacturer, you would instead name them "JM-TPO" (Johns Manville) or "FS-TPO" (Firestone), for example.
NOTE: Do not specify assemblies within the name of the Roofing System (i.e. JM-TPO-FA or FS- TPO-MF) because you will specify those in the name of the Estimating Template. Using a Johns Manville TPO Roofing System as an example, you will create one Roofing System named "JM- TPO" and then will go on to create Estimating Templates for each of the assemblies named "JM- TPO-FA", "JM-TPO-MF", etc.
7. Decide whether you'd like to create this Roofing System from scratch (check "No") or based on an existing Roofing System (check "Yes"). Then, click "Next Step".
Add Material Types
8. Now, we will be adding the Material Types that make up the assemblies for this Roofing System. Click "Add Material Types" on the right-hand side to get started.
NOTE: Material Types are not the actual Materials, they are the category or bin that would hold them. For example, "Fasteners" is a Material Type and a "1/4 in. AP Fastener" is the Material.
9. Within the pop-up window, name the Material Type and click "Submit". Continue to add as
many Material Types as you see fit. The Material Types you add should be limited to those
supplied by the specific manufacturer associated with that Roofing System.
10. Once you have added all your Material Types, use your mouse to drag-and-drop them in the order you will like them displayed on your Estimates. It is recommended that you move the most critical Material Types (i.e. Installations, Membranes, Bonding, etc.) to the top of the list and the less significant ones (i.e. Cleaners) to the bottom. Click "Next Step" once completed.
Add Materials
11. Now, we will be adding specific Materials to each of the Material Types. Click "Add" in the first column to get started. You must add at least one Material to each Material Type.
12. Within the pop-up window, fill in the following information for the Material. Click "Save" to add the Material. Continue to add as many Materials to each of the Material Types as you see fit.
Name - The name of the Material. It may often be very similar to the name of the Material Type. Order Quantities - The unit of measure for one unit of the Material. It is recommended to use the unit of measure for just one unit, not one box - which may contain multiple units. Unit Price - The price for one unit of the Material. Coverage Rate - The area, in feet, that can be covered with one unit of the Material. Code - The manufacturer's product code or SKU # of the Material. Default Material - Check this box to specify if this Material is typically selected in most of your assemblies. If checked, it will auto-populate within your Estimating Templates. |
13. Once completed, click "Create Estimating Templates" to move on to creating the Estimating Templates for this Roofing System.
Estimating Templates
Now that you have set up your Roofing Systems, you can now create multiple Estimating Templates to use to build Estimates for that particular Roofing System.
What's in an Estimating Template?
- Template Name (i.e. JM-TPO-FA)
- Roofing System (i.e JM-TPO) Material Types (i.e. Pipe Boots)
- Materials (i.e. 6" Media Pipe Boot)
- Price
- Coverage
- Formulas
- Materials (i.e. 6" Media Pipe Boot)
- Labor Variables
- Labor Rates
- Roofing System (i.e JM-TPO) Material Types (i.e. Pipe Boots)
Create an Estimating Template
1. Login to FCS, navigate to your Toolbox and click "Estimate".
2. On then the right-hand side, click "System Admin".
3. To begin creating your Estimating Template, click "Create a New Estimating Template".
4. Select the Roofing System for this Estimating Template and click "Next Step".
5. Name your Estimating Template based on the Roofing System and the assembly it will be used for. For example, "JM-TPO-FA" or "JM-TPO-MF".
6. Decide whether you'd like to create this Estimating Template from scratch (check "No") or based on an existing Estimating Template (check "Yes"). Then, click "Next Step".
Add Labor Variables and Rates
7. Now, you will add Labor Variables for various field conditions to be used within your Estimating Template. Select the "Enter sample field condition quantities to test labor units per hour" box to get started.
8. Fill out the fields in the blue "Units/Hr" column to see how they calculate and adjust the number up and down as needed. Once completed, click "Next Step".
9. Now, you will add Labor Rates to the various field conditions. To apply a rate to all field conditions, enter the rate into the box and click "Submit".
10. Review each of the field conditions individually and adjust the field in the blue "Rate" column for those that may fall into a different labor rate, if applicable. Once completed, click "Next Step".
Add Material Types and Materials
11. Now, you will decide which of the Roofing System's Material Types to include in this Estimating Template. Check the "Select All" box to include all the Material Types and uncheck any you do not want to include. Click "Next Step" to continue.
12. Decide which of the Roofing System's "Other" Material Types to include in this Estimating Template. Check the "Select All" box to include all the Material Types and uncheck any you do not want to include. Click "Next Step" to continue.
Add Material Calculations
13. Setup your Material Calculations and click "Next Step" once completed.
14. Setup your "Other" Material Calculations and click "Next Step" once completed. Your Estimating Template is finished! You can now begin creating Estimates within FCS.
